At Community Grocer, we respect and protect your personal information. This statement explains how we handle, store, and protect the data collected through our Needs Assessment Survey and Contest.=
Who Has Access to Your Data
Currently, access to survey data is limited to:
Community Grocer co-founders, Dr. Leon Scott, and Ms. LaCrisha Johnson.
These individuals only access the data to:
Analyze neighborhood grocery needs
Administer the contest (e.g., contacting winners)
Plan services and offerings for our future store
As our team grows, any new staff members will receive only the level of access necessary to perform their roles.
Where and How Data Without Personal Identifiers Is Stored
We use the following tools to store and manage survey data:
REDCap (Vanderbilt University): A secure platform for survey collection, commonly used in medical and academic research. All data you enter goes directly into REDCap.
Dropbox: We securely export and store contest data in a dedicated Dropbox folder used only for this contest. Dropbox access is protected with two-factor authentication (2FA) and account-level security controls.
At this time, we do not track individual access logs in Dropbox.
How Long Do We Keep Your Data
We currently plan to retain survey data indefinitely to help us plan and evaluate future programs and offerings. We will never sell or rent your personal information.

If a Data Breach Occurs
We are committed to transparency and community trust. If we discover that your information has been improperly accessed, we will:
Notify you as soon as possible.
Even if there is no evidence of misuse or harm.
Our designated Data Steward is responsible for managing data security and responding to any data breaches.
How We Communicate with You
If you win the contest or we need to contact you regarding your entry, we will reach out to you by phone or text message using the contact information you provided.
Data Handling Practices
While our current team has not undergone formal data safety training, we follow basic privacy practices, including:
Restricting data access to only those who need it
Using secure storage systems
Maintaining the confidentiality of all personal data
